1. Who we are

Kind Horse LLC is a software company based in Missouri, USA. We offer our service primarily to users in the United States.

Application data is stored using cloud infrastructure that may include servers in the United States and the European Union (for example, our database host in Frankfurt, Germany).

2. What data we collect

Account information: name, email address, phone number, password (hashed)

Horse and barn data you enter: health records, care logs, schedules, expenses, facility details

Uploaded documents: vet records, Coggins certificates, invoices, photos, and other files you choose to upload

AI processing: when you use smart document or invoice import, we send the file to our AI provider and store extracted fields, processing logs (feature used, model, success, token counts, latency), and your review choices

Usage data: pages visited, features used, session duration, and interaction patterns

Device and technical data: IP address, browser type, operating system, and approximate location derived from IP

Payment information: processed by Stripe โ€” we do not store card numbers

IP address and timestamp at time of consent

Advertising and analytics data from partners when you use the service (see Cookies and tracking)

3. How we use your data

To provide and operate the service you signed up for

To run AI-assisted import features you request

To send operational emails you opt into (reminders, task assignments, and similar)

To display advertising and measure ad performance

To analyze usage, improve the product, and develop aggregated or de-identified insights

To share information with commercial partners as described below

To comply with law and protect the security of our users and systems

4. AI processing of uploads

When you use smart document import or vaccination invoice import, we send the file you select to Anthropic (our AI provider) to classify the document and extract structured fields.

This processing happens only when you start an import โ€” ordinary document uploads without smart import are stored but not sent for AI extraction.

Under Anthropic's commercial API terms, content submitted through our integration is not used to train their public models. Anthropic may retain API traffic for a limited period for safety and abuse monitoring.

We store extraction results you save, related documents in our storage, and technical logs in our AiUsageLog table for operations and billing.

AI output can be wrong. Always review extracted information before relying on it.

5. How we share and monetize your information

We share personal and usage data with third-party partners. This helps fund free and low-cost access. We may receive payment or other compensation when we share data.

Categories we may share include: contact details; horse, barn, and health-related records you enter; usage and behavioral data; information extracted from documents; and aggregated or de-identified statistics that do not identify you.

Recipients may include: analytics and advertising partners; market research firms; technology vendors who help us operate the service; and other commercial partners whose products or services may be relevant to horse owners and barn operators.

We may also share information when required by law or to protect rights and safety.

6. Your U.S. state privacy rights

Depending on where you live, you may have rights under state privacy laws (including California, Virginia, Colorado, Connecticut, Utah, and others), such as:

Right to know what personal information we collect, use, and share

Right to access and receive a copy of your personal information

Right to correct inaccurate personal information

Right to delete personal information

Right to opt out of the sale or sharing of personal information for cross-context behavioral advertising

Right to limit use of sensitive personal information (where applicable)

Right to non-discrimination for exercising privacy rights

To exercise these rights, email support@kindhorse.com or use the export and deletion tools in your profile. We will verify your request as required by law.

California residents: we do not knowingly sell personal information of consumers under 16. To opt out of sale/sharing, contact us at the email above with the subject line "Do Not Sell or Share My Personal Information."

7. Where your data is stored

Primary application storage uses Supabase (database and files), with EU hosting available in our configuration (Frankfurt, Germany). Other vendors may process data in the United States.

When we share data with partners or service providers, your information may be processed in the United States or other countries.

8. How long we keep your data

We retain your data for as long as your account is active and as needed to operate our business, including analytics, legal compliance, and partner reporting.

If you delete your account, we will delete or de-identify your personal data within 30 days where feasible, except where retention is required by law or where data has already been shared with third parties.

9. Cookies and tracking

We use essential cookies for authentication and session management.

We also use analytics and may use advertising or measurement cookies through our partners to understand usage, deliver ads, and support our business. You can manage cookie preferences through your browser settings.

11. Children
