1. Who we are
Kind Horse LLC is a software company based in Missouri, USA. We offer our service primarily to users in the United States.
Application data is stored using cloud infrastructure that may include servers in the United States and the European Union (our primary database host is in Frankfurt, Germany).

2. What data we collect
Account information: name, email address, phone number, hashed password, optional date of birth and rider USEF/USHJA numbers, timezone, and account use cases (owner, barn, trainer, and similar).
Horse and barn data you enter: health and care records, medications, schedules, expenses, facility details, photos, insurance information, emergency contacts, and team memberships.
Uploaded files: vet records, Coggins certificates, invoices, supplement labels, photos, video, and other files you choose to upload.
AI processing: files or record excerpts sent to our AI provider; extracted fields; processing logs (feature used, model, success, token counts, latency); and your review or save choices.
Billing: Kind Horse subscription status via Stripe (we do not store card numbers). Barn invoices, rates, and optional Venmo/PayPal/Zelle handles. Card/ACH for board is processed on the barn’s Stripe Connect account.
Communications: notification preferences; email delivery; optional web-push subscription endpoints; optional SMS to the phone number you save.
Usage and device data: pages and features used, approximate location derived from IP, browser and device type, and consent IP and timestamp.
Public directory: business name, address, phone, website, capabilities, and map coordinates for listed places — not private horse records.
Support: if a founder impersonates your account to debug a problem, that session is logged as support access.
3. How we use your data
To provide, secure, and operate the service you signed up for, including reminders, sharing, invoices, and reports.
To run AI-assisted import, extraction, and (when offered) Ask features.
To send operational email, and optional push or SMS you enable.
To measure product usage (including Vercel Analytics on public and in-app pages) and to improve the product.
To comply with law and protect the security of our users and systems.
We do not currently use your data to show third-party advertisements in the app, and we do not currently sell horse health records or uploaded documents to advertisers, data brokers, or other commercial partners.
4. AI processing of uploads and Ask
When you upload a PDF or photo (or start an invoice, document, or label import), we may send the file to Anthropic to classify it and extract structured fields. Video and some other types are stored without extraction. Extraction is skipped when you attach a file to an existing record as a plain upload link.
When we offer Ask, we send your question and compact tool results about horses, care, calendar, and invoices you are allowed to see — not other people’s horses you cannot access.
Under Anthropic’s commercial API terms, content submitted through our integration is not used to train their public models. Anthropic may retain API traffic for a limited period for safety and abuse monitoring.
We store extraction results you save, related files in our storage, and technical logs in our AI usage log for operations, safety, and cost control.
AI output can be wrong and is not veterinary advice. Always review extracted information and Ask answers before relying on them.
5. How we share information
We share information with service providers who process it on our instructions to run Kind Horse (hosting, database, file storage, email, payments, SMS, maps/geocoding, weather, analytics, and AI). Those providers are listed in section 10.
We share information when you tell us to: team invites, sitter and Coggins share links, calendar subscribe URLs, reports you download, and show entry cards. Anyone you give a share link or ICS URL can see what that link includes.
Barns that collect card or ACH payment receive payer and invoice information through Stripe Connect. Kind Horse does not take custody of board funds.
We share information when required by law or to protect rights and safety.
We do not currently sell personal information, and we do not currently share it for cross-context behavioral advertising. We do not sell or license horse health records or uploaded vet documents to third parties for their marketing. If that ever changes, we will update this policy, require a new consent version where the change is material, and provide a clear opt-out.
We may use aggregated or de-identified information that does not identify you, a horse, or a barn.
6. Your U.S. state privacy rights
Depending on where you live, you may have rights under state privacy laws (including California, Virginia, Colorado, Connecticut, Utah, and others), such as:
Right to know what personal information we collect, use, and share
Right to access and receive a copy of your personal information
Right to correct inaccurate personal information
Right to delete personal information
Right to opt out of the sale or sharing of personal information for cross-context behavioral advertising
Right to limit use of sensitive personal information (where applicable)
Right to non-discrimination for exercising privacy rights
To exercise these rights, email support@kindhorse.com or use the request tools in Settings → Privacy. Access and deletion requests are handled by our team (not an instant download). We will verify your request as required by law and aim to complete it within 30 days.
California residents: we do not currently sell or share personal information as those terms are used for cross-context behavioral advertising, and we do not knowingly sell personal information of consumers under 16. To make an opt-out request anyway, email us with the subject line "Do Not Sell or Share My Personal Information." If we later sell or share for advertising, we will honor browser Global Privacy Control (GPC) signals as required by law.
7. Where your data is stored
Primary application storage uses Supabase (database and files), with EU hosting in our configuration (Frankfurt, Germany). Other vendors may process data in the United States or other countries, including our AI provider and payment processor.
If you are in the European Economic Area, note that the product is built for U.S. users. Contact us before relying on Kind Horse if you need a specific international transfer mechanism.
8. How long we keep your data
We retain your data for as long as your account is active and as needed to operate the service, including security, billing, and legal compliance.
If you request deletion, we will delete or de-identify your personal data within 30 days where feasible, except where retention is required by law, needed to complete a transaction, or needed so another user can keep a shared record they still have a right to (for example a barn invoice or a horse record owned by someone else). Backups may take additional time to expire.
9. Cookies and tracking
We use essential cookies for authentication and session management (httpOnly login cookies). We also set a timezone cookie so dates render in your zone.
We use Vercel Analytics to understand visits to marketing pages and the app. It is a first-party analytics tool on our hosting platform. We may also use PostHog or Plausible if those keys are configured.
We do not currently run third-party advertising cookies. You can block analytics in your browser; essential cookies are required to stay logged in.

We do not currently use advertising networks or commercial data brokers.
11. Children
This service is not directed at children under 13, and we do not knowingly collect personal information from children under 13. Accounts are for users 16 and older. A parent or guardian may use their own account in connection with a minor rider. If you believe we have information about a child under 13, email us and we will delete it.
12. Changes to this policy
We will notify you of material changes by requiring re-acceptance (a new consent version) before you continue to use the dashboard, and we may also email you.
